Custom layout

PDF data in Excel, laid out your way.

Extract the data from any customer order, invoice or statement, then download it in the format your team already works from: a pick list, an approval sheet, a coding sheet. Your headings, your columns, only the fields you need. Design it once, and every document downloads that way.

Excel or PDF
Lists grow to fit each document

Your custom layout: the pick list your warehouse works from, with Picked and Bin columns and lines to sign.

Why one table is not enough

Extraction is done. Then the reformatting starts.

If you copy every export into your own Excel template, the time you saved on typing goes straight back into formatting.

Built for a database, not your team

A standard export is one wide table: the order details on the first row only, every item spread across columns, and fields such as unit prices that the people using the sheet do not need.

Field names, not your headings

A standard export uses field names such as customer_name and line_items.quantity as headings. Your warehouse, your approvers or your bookkeeper expect “Customer” and “Qty”, in the order they work in.

No room for your own columns

Picked, Bin, GL code, Approved by: the columns your team fills in next are not in the document, so they are never in a standard export. Someone adds them by hand, every time.

Try it here

Design a layout in ten seconds.

A small copy of the real editor, building a pick list from customer orders. Move the fields around, then press Preview and switch orders: watch the lines grow and everything below them move down.

Click a field, then a cell. Or drag it onto the grid.

Three steps

Design it once. Every download follows it.

A layout belongs to a Parser Template, so it works for that document from every company, in every design. Build the template from one sample with the AI document parser.

1

Design the layout

Open Custom layout on your Parser Template. Drag fields and lists onto the grid, type your headings, add empty columns.

2

Preview with a real document

Switch to Preview to see the layout filled in with any of your last 10 extracted documents, then test the download.

3

Download in your layout

Run a batch in Data Lab, or open one in Activity, and click Download. Every document comes out in your layout.

Many documents at once

Fifty invoices, one download, your layout.

Choose once how a batch comes out. The layout is the same for every document; only the data changes. Click an option to see it.

One Excel file. Each document gets its own tab, named after its file, and every tab follows your layout.

Who uses it

Files people read, not just import.

A custom layout pays off wherever a person checks, codes, signs off or sends on the result. Pick a document to see a layout built for it.

Accounts payable

One sheet per supplier invoice for the person who signs it off: the details at the top, the lines with a GL code and cost centre to fill in, and an approval block at the bottom.

Still one click away

The standard export does not go anywhere.

For importing into accounting software or a database, one plain table is still best. It stays under Export as, next to your layout's Download button. Linked sheets and automations keep the standard fields too.

Time back

How long do you spend reformatting exports?

Count the copying, pasting, renaming columns and moving lists around after each export. Designing a layout once takes a few minutes.

12.5 hours a month
back from reformatting: about 1.7 working days, or 150 hours a year.
