What is invoice parsing?

Invoice parsing, sometimes called invoice OCR or invoice data extraction, is the automated conversion of a supplier's invoice, a PDF, a photo, or a scanned page, into structured data an accounting system can use: named fields such as supplier name, invoice number, line items, and amount due. When an accounts payable team says an invoice has been "parsed", they mean the document now exists as clean, labeled data ready for GL coding and payment, not a PDF someone has to open and retype.

The difference between reading an invoice and parsing one is repeatability. A bookkeeper can read any single invoice, but not the hundreds that arrive across dozens of vendor formats every month. Invoice capture software applies the same reading, with the same field definitions, to every invoice it sees, which is what makes AP automation possible in the first place.

Why invoices are hard to parse

Invoices are uniquely difficult to extract data from. Every vendor has their own template, so logos, table structures, and field placement differ supplier to supplier, and a parser tuned for one vendor often fails on the next. Line-item tables are messy: multi-page tables, subtotals by category, and discounts applied mid-table all have to be read in the right order to reconstruct an accurate total.
